How to Organize Physical Assets

    Be systematic

    • 1). Start in one room. Photograph entire room from at least 4 different locations. Try to get each wall to give you a good reference point.

    • 2). Place a sticker with a unique number on each asset within the room. Photograph the item with the number attached. Use the number to correspond to notes in your notebook. This will help you to cross reference photographs to line items in your computer.

    • 3). In your notebook, list anything you can think of to help you analyze the value. If there is a serial and model number, note it down. If you can remember when and where you purchased it or how much you paid for it, add those notes as well. If the turquoise necklace was a gift from Aunt Patricia and is an antique, be sure to put those notes down as well. Make a note on the location as well.

    • 4). Transfer the notes to a computer spreadsheet in a way that makes sense to you. Be sure to use the numbers that correspond to the photographs as a way to list them. This will help you to sort things quicker if you ever need to. Download the pictures into a file that will make it easily accessible for you. An example would be "Living Room" "Bedroom" "Master Bedroom" etc.

    • 5). Finish one room, then move to the next. Also remember to do such things as garage, attic, outdoors for any other items that you feel you should inventory.

    • 6). When you have finished organizing your assets on computer, make a backup copy to save to a different location. A safety deposit box at the bank is a good location as are remote backup locations online. If your home is destroyed, you will need the records.
