Professional Etiquette in Addressing Envelopes
- Affix the return address. The name of the individual or company is in the initial line followed by the building address, then the street address followed by the city and state on a new line. The city and state should be separated by a comma. The ZIP code is next and then, if you are sending internationally, enter the return country.
- Ensure the salutation, such as, "Mrs. Betty Smith," matches the salutation that commences your letter. Keep it consistent. It's most professional if "Dear Mrs. Smith" is on the inside, instead of addressing the letter to Mrs. Smith and the letter noting, "Ms. Smith." If addressing an envelope to a couple, the female in a couple is always addressed before the male. For example, "Mrs. Betty and Mr. Tom Smith."
- Under the name, place the building name and apartment number. If the recipient doesn't have a building name, the street address should follow. Following the street address should be the city and state. Again, the ZIP code follows. List the name of the country if the recipient lives in a country other than the originating return address. The same rule applies to this and to the return address.
- When using type labels, ensure you use the same font on the front of the envelope as you do within the letter. Consistency is always professional. However, you may adjust the font for the label and envelope size. If you're sending a letter on company letterhead, use the coordinating envelopes. Handwritten envelopes should be written in a dark ink by an individual with professional-looking, legible handwriting.
